Which formats can I import?

Ultra supports both Excel files (.xlsx, .xls) and CSV files. Most systems on the market can export to one of these formats. If your system can export to Excel or CSV, the import will work.

What happens if a row contains errors?

Accepted Answer

Ultra automatically skips rows that cannot be read or are missing required fields (such as customer name for customers). After the import you get a report showing which rows were imported and any errors. That way the whole import does not stop because of a small error.

Can I import timesheets and invoices?

Accepted Answer

No, the import focuses on master data such as customers and projects and related data. To avoid losing project finances on ongoing projects, cost and revenue items can be imported.

Question 4

Do project numbers have to be unique?

Accepted Answer

Yes, every project in Ultra must have a unique project number. If you import two projects with the same number, the second will get an error message. Make sure your project numbers are unique before importing.

Can I link the import to Fortnox?

Accepted Answer

Yes, if you have customer numbers from Fortnox you can match them during import by selecting the column with Fortnox customer numbers in the matching step. The integration then works as soon as you start invoicing, and the Fortnox connection is seamless.

Question 6

What happens if I import the same customer twice?

Accepted Answer

Ultra creates a new customer every time you import. We do not automatically check for duplicates. If you import the same list twice you get duplicate customers. Solution: remove the duplicate customers manually after import, or check your list before importing.

Question 7

Can I import items and prices?

Accepted Answer

For company items there is an item import, but not as part of customer or project import. You need to set up labour roles, materials and prices manually under Settings → Items. For projects, however, you can import costs and prices as items directly on the project. Contact us if you need help setting up items.

How many customers or projects can I import at once?

Accepted Answer

We help you import an unlimited number of customers and projects – tens of thousands if needed. Have more? Split the import into several batches. This keeps the import fast and smooth.
